Responsibilities
Your day-to-day duties will include:
- Responsible for assisting the operations team to complete requirements
- Validation of the progressive reports to the supplier’s billing file weekly
- Validation of the charge zone on the progressive report
- Monitor the supplier billing files sent from finance and submit the validated file in a timely manner
- Check the progressive reports with incomplete details and inform the account owner
- Consolidation of the validated supplier’s billing file per vendor per folder
- Monthly reconciliation of the progressive reports vs. supplier’s billing file
- Submission of the billing-ready file to finance based on the scheduled deadline per client
- Preparation of RFQ (Request for Quotation) of the client and submitting it in a timely manner
- Timely and accurate accomplishment and submission of the following reports and documentations:
- Validation of shipment data in billing invoices prior costing computations of all shipments to be approved/confirmed by Team Lead
- Check errors and duplications on any transaction and report these errors or inconsistencies to Team Lead and/or Business Unit Head
- Organize a filing system for important and confidential mails that will be easily understandable for cross reference by the business unit. This must be regularly maintained and updated on a periodic basis.
- Orders and maintains office supplies and equipment
- Performs work processing, creating spreadsheets and client presentations
- Scans, prints, and photocopies documents as needed
- Checks and properly files records and documents related to courier operations (log sheets, forms, reports, etc.)
- Prepare and submit validated reports (daily, weekly, monthly)
Required Skills, Qualifications & Attributes
To be successful in this role, the ideal applicant will possess the following attributes and qualifications:
- Bachelor’s degree in any field
- Proficient in English and Tagalog, in both verbal and written communications
- Proficient in using MS Office applications
- Can multitask and still provide the required output
- Detail-oriented
- Can easily adapt to any situation and is flexible
- Can work with minimal supervision
- Cooperative
- Ability to work under pressure
- Willing to be relocated as and when needed
