We’re looking for a highly motivated Mailroom Staff. We are looking to fill this role in four different locations: Muntinlupa, Taguig, Makati, or Ortigas. This person will assist in receiving, sorting, encoding and distributing all invoices. He/she will be responsible for ensuring that all invoices processed in the mailroom are recorded in the system.

Responsibilities
Your day-to-day duties will include the following:
- Assign jobs from the system to the drivers in coordination with team leader/dispatcher
- Ensure that all jobs are assigned within prescribed schedule (daily)
- Receive checks and other pertinent documents related to collection
- Sort and safekeep received checks and documents
- Encoding - Accurately and efficiently record all checks received with details needed; confirm that entered data accurately aligns with original check and or/document
- Perform administrative and office support activities for management
- Check and file records and documents related to mailroom operations (log sheets, forms, reports, etc.)
- Scan and photocopy hard copy documents (as needed)
- Perform any other office tasks that management requires assistance with (e.g., sending emails)
- Coordinate with client regarding mailroom transactions in the absence of account manager and team lead dispatcher
- Respond to customer inquiries, requests and feedback in a timeline manner via email, phone or face-to-face
- Prepare and submit validated reports in a timely manner (daily, weekly, and monthly)
- Check errors and duplications and report any major errors or inconsistencies to account manager and/or team leader dispatcher
- Submission of report logs of in-progress and/or completed work
- Ensure standard operating policies, processes, procedures are strictly followed
- Perform ad hoc activities that will be assigned from time to time
- Complete special assignments as assigned by account manager
Required Skills, Qualifications & Attributes

- Good verbal and written communication skills: Should be able to communicate effectively with colleagues, clients, and the management to avoid errors in providing information
- Organizational skills: Should be efficient in sorting and encoding mails
- Computer-savvy: Mailroom staff should be able to use mobile application technology
- Detail-oriented
- Adaptable and flexible
- Cooperative
- Multitasking: Can take on various tasks at the same time and complete without errors
- Independence: Ability to plan and manage work with minor supervision
- Ability to work under pressure. Should be able to handle the pressure that comes with the job. Ability to plan and manage work under time constraints
